Online invitations with RSVP

Online invitations with RSVP from InvitaciónYa (invitacionya.com): every invitation has a button to reply. With Express, each answer is saved in your guest dashboard, where you see who is coming, how many seats each family is using, who still hasn't replied and who already opened the invitation, and you can download it all for Excel. In the free version, the button opens WhatsApp with a message ready for you.

How guests reply to online invitations with RSVP

Each guest on your list gets their own link by WhatsApp, text or email. When they open it, the invitation greets them by name and tells them how many seats you saved for them.

  • They tap the button, say whether they are coming and how many, and that's it. No app to download and no account to create.
  • They can't confirm more people than the seats you gave them, so a "+1" doesn't turn into a "+4".
  • If their plans change, they open the same link and change the reply.
  • They can leave you a note: an allergy, a song request, or just a hello.

It works on every design, from the free ones to the ones that open with an animation.

Your guest dashboard: online RSVP tracking without a spreadsheet

The dashboard keeps the whole list with the status of each guest, and it updates by itself. You don't count WhatsApp messages or keep a separate sheet; the online RSVP is the list.

  • Who is coming, who isn't and who is missing, with the seats each family confirmed.
  • Who you already sent it to and who opened it.
  • Remind the pending: WhatsApp opens with the reminder already written.
  • Filters for confirmed, pending and not coming, plus a search box.
  • Download for Excel with every reply, for the venue or the caterer.

How to set up online invitations with RSVP

You can do the four steps from your phone in one evening. The list is the part that takes the longest, so have it ready before you start.

  1. Build your invitation. Pick a design, type the details and see it finished before paying anything.
  2. Add your list in the dashboard. Each name or family with its seats. If you already have it written, paste it all at once, one guest per line.
  3. Send each link from the dashboard. WhatsApp opens with the message ready and the guest's name in it, and that guest is marked as "Sent". You can also copy the link and send it by text or email.
  4. Watch the replies and remind the ones missing. The day before the deadline, download the final list for Excel.

This is the kind of message that goes with each link:

Hi Aunt Rosa! Here is Mariana and Felipe's wedding invitation: invitacionya.com/i/mariana-y-felipe. We saved 2 seats for you and Jorge. Please tap "RSVP" before December 5 so we can give the venue the final number. Love you both!

Questions about online invitations with RSVP

Setting up the RSVP

Can I set a deadline for RSVPs?
Yes. In the editor you fill in "RSVP by" and the invitation shows it next to the button, for example "Please RSVP by December 5". That way you have the final headcount in time for the venue and the caterer.
Can a guest change their reply?
Yes. If they open their link again, they see what they answered and can change it. Your dashboard always keeps the latest reply.
Can I give a family seats for adults and seats for kids?
Yes. In the dashboard you turn on "Separate adults and children" and give each family its seats of each kind. When they reply, they say how many adults and how many children are coming, and they can't go over what you gave them.
Do I have to type the guest list one by one?
No. With "Add several at once" you paste the whole list, one guest per line with their seats after a comma, and the dashboard creates every link. The list holds up to 400 guests, and at the end you download it, with the replies, as a file that opens in Excel.

Guests, reminders and the free version

How do I remind the people who haven't replied?
Tap "Remind the pending" in the dashboard and only the guests who are missing stay on screen. On each one, "Remind" opens WhatsApp with the reminder already written; you just send it.
Do my guests need an app or an account to RSVP?
No. They tap the link you sent by WhatsApp, text or email, the invitation opens in the phone's browser and they reply with one tap. Nothing to install, no password.
What if I send the general link instead of the list links?
It works, but each reply counts as one person, because that link doesn't know how many seats each family has. For couples and families, use the list: each one gets its own link with its seats.
Is the online RSVP included in the free version?
The free version has an RSVP button too, but it opens WhatsApp with a message ready for you, so the answers arrive as chats. To get the dashboard without paying for Express, there is the Guest RSVPs upgrade for $3, and it is deducted if you move to Express later. With Express the dashboard is included.
